Skall Ventures – Booking & Cancellation Policy

This revised Booking & Cancellation Policy has been adopted by Skall Ventures and will become effective upon implementation for all new bookings.

Existing bookings confirmed under previous terms will continue to be governed by the terms accepted at the time of booking.

1. Booking Confirmation

A booking is considered confirmed once:

● the required 25% non-refundable deposit has been received by Skall Ventures; and

● a written booking confirmation has been issued by Skall Ventures.

The person making the booking confirms that they are authorised to accept these Terms & Conditions on behalf of all members of their travelling party.

These Terms & Conditions supersede all previous versions and apply to all new bookings made on or after the effective date.

2. Payment Terms

Our payment policy has been designed to balance customer protection, fair booking conditions and responsible financial management. By limiting both the amount and the period of time that advance customer funds are held before departure, we aim to provide a secure and transparent booking process while maintaining a sustainable business model.

Deposit

25% non-refundable deposit of the total tour price is required at the time of booking.

The deposit secures:

● your selected travel dates,

● itinerary planning,

● guide and vehicle availability,

● accommodation reservations, where applicable,

● activity reservations, where applicable, and

● administrative work related to your booking.

Final Payment

The remaining 75% balance must be paid no later than 30 days before the scheduled departure date.

For bookings made 30 days or less before departure, full payment is required at the time of booking.

Failure to pay the remaining balance by the due date may result in cancellation of the booking. In such cases, the deposit will be retained by Skall Ventures.

3. Booking Changes

If you wish to modify your booking, please contact us as soon as possible.

We will always make reasonable efforts to accommodate requested changes; however, modifications cannot be guaranteed and may depend on availability and the terms and conditions of third-party suppliers.

Additional charges may apply where a requested change affects accommodation, activities, transportation or other third-party services.

Hotels, activity providers and other third-party suppliers may have their own amendment and cancellation policies, which may differ from those of Skall Ventures. Where a requested change results in a non-refundable charge, cancellation fee, price difference or other cost imposed by a third-party supplier, such costs may be passed on to the customer.

Skall Ventures will make reasonable efforts to minimise any additional costs and, where possible, recover refundable amounts from suppliers.

4. Cancellation by the Customer

All cancellations must be submitted in writing by email to:

Cancellation charges are as follows:

More than 30 days before departure

● The 25% booking deposit is non-refundable.

● Any additional payments made to Skall Ventures will be refunded, subject to any non-refundable costs already incurred with third-party suppliers where applicable.

30 days or less before departure

● 100% of the total booking value is non-refundable.

No-show

● 100% of the total booking value is non-refundable.

Third-party suppliers, including accommodation and activity providers, may apply cancellation conditions that differ from those of Skall Ventures. Where applicable, such conditions may affect the amount that can be recovered following a cancellation.

Skall Ventures will make reasonable efforts to recover refundable amounts from suppliers and minimise the financial loss to the customer.

Where a refund is due, it will normally be processed within 14 business days.

Nothing in this section limits any mandatory cancellation or refund rights available to the traveller under applicable Icelandic law.

5. Cancellation by Skall Ventures

Skall Ventures reserves the right to cancel or modify a tour where necessary due to circumstances beyond our reasonable control, including but not limited to:

● severe weather,

● road closures,

● volcanic activity,

● natural disasters,

● government restrictions,

● safety concerns,

● force majeure,

● or any other circumstance that may compromise the safety of our guests or staff or prevent the tour from being operated as planned.

Where possible and appropriate, Skall Ventures will offer:

● an alternative departure date,

● an alternative itinerary or service of comparable value, or

● a refund in accordance with the applicable circumstances and Icelandic law.

Where third-party services form part of the booking, Skall Ventures will make reasonable efforts to recover any refundable amounts from the relevant suppliers and minimise any financial loss to the customer.

Nothing in this section limits any mandatory refund, cancellation or other rights available to travellers under applicable Icelandic law.

6. Itinerary Changes

Iceland's weather and natural conditions can change rapidly.

For safety and operational reasons, Skall Ventures may alter:

● routes,

● accommodation,

● sightseeing stops,

● activity schedules,

● daily itineraries,

● or other operational details,

where necessary due to weather, road conditions, safety concerns, closures, volcanic activity or other unforeseen circumstances.

Such adjustments will always be made with the safety of our guests and the overall quality of the travel experience in mind.

Where reasonably possible, Skall Ventures will aim to provide an alternative of comparable nature or value.

Minor itinerary adjustments that do not materially affect the overall character or value of the booked tour will not normally constitute grounds for compensation.

Nothing in this section limits any mandatory rights available to travellers under applicable Icelandic law.

7. Third-Party Suppliers

Many services included in our tours are provided by carefully selected independent suppliers, including:

● accommodation providers,

● glacier guide companies,

● boat operators,

● transportation providers,

● activity operators,

● and other local partners.

Third-party suppliers may have their own booking, amendment and cancellation policies, which may differ from the standard Booking & Cancellation Policy of Skall Ventures.

Where a third-party supplier's cancellation or amendment terms apply to a specific service included in a booking, Skall Ventures cannot guarantee that amounts already committed or paid to that supplier will be recoverable.

In the event of a cancellation or booking change initiated by the customer, any non-refundable charges or cancellation fees imposed by third-party suppliers may therefore affect the amount that can be refunded.

Nevertheless, Skall Ventures will always make reasonable efforts to recover refundable amounts from suppliers, negotiate alternatives where possible, and minimise the financial loss to our guests.

Any amounts successfully recovered from third-party suppliers and due to the customer will be refunded accordingly.

Skall Ventures cannot control operational decisions made independently by third-party suppliers, including changes, delays or cancellations. Where such circumstances arise, we will make reasonable efforts to assist our guests and arrange a suitable alternative where possible.

Nothing in this section limits any mandatory rights or protections available to travellers under applicable Icelandic law.

8. Travel Insurance

We strongly recommend that all guests purchase comprehensive travel insurance appropriate to their individual circumstances and travel plans, including coverage for:

● trip cancellation or interruption,

● medical expenses and emergencies,

● personal belongings,

● travel delays and disruptions,

● missed or cancelled flights, and

● weather-related disruptions.

Guests arriving by cruise ship are especially encouraged to obtain insurance covering missed port calls, itinerary changes and other cruise-related disruptions.

Guests are responsible for ensuring that their chosen insurance provides adequate coverage for their individual needs and the activities included in their itinerary.

9. Responsible Travel

At Skall Ventures, we believe that Iceland's extraordinary landscapes are among the country's greatest treasures and deserve to be protected for generations to come.

Respect for nature and responsible tourism are fundamental values of our company. We encourage all of our guests to travel responsibly by staying on marked paths where required, respecting closures and protected areas, following local regulations, leaving no trace, and helping preserve Iceland's fragile ecosystems.

Guests must not intentionally damage vegetation, geological formations or other natural features, and all waste must be disposed of responsibly.

As local guides, we see it as our responsibility not only to showcase Iceland's extraordinary natural beauty, but also to inspire our guests to appreciate, respect and help protect it.

One of the principles we follow at Skall Ventures is simple:

“Leave it better than you found it.”

Whenever possible, we encourage our guests to go one step beyond leaving no trace — whether that means picking up a piece of litter along the way, respecting vulnerable areas, or simply helping us protect the places we are privileged to visit.

We believe that unforgettable travel experiences and environmental responsibility go hand in hand.

10. Participant Responsibilities

Guests are responsible for ensuring that they are physically capable of participating in the booked activities and for informing Skall Ventures in advance of any relevant circumstances that may affect their ability to participate safely.

Certain activities may be subject to specific minimum age, height, weight, fitness, equipment or other participation requirements imposed by Skall Ventures or third-party activity providers.

Guests are responsible for reviewing these requirements before booking and for providing accurate information about all participants.

Failure to meet a mandatory participation requirement, including a minimum age requirement, may result in the participant being refused participation in the relevant activity or tour. Where the applicable requirement was clearly communicated before booking, such exclusion will normally be non-refundable.

Travelling with Children

Guests travelling with infants or children must inform Skall Ventures in advance of the number, ages and, where requested, heights of the children travelling in their party.

Under Icelandic rules, children under 135 cm must use an approved child restraint appropriate for their size. Children under 150 cm may not sit in a front passenger seat with an active airbag.

This information must therefore be provided to Skall Ventures in advance so that the appropriate child safety seat, booster seat or other required restraint can be prepared before the guests' arrival.

All participants are expected to follow the safety instructions provided by Skall Ventures guides and third-party activity providers at all times.

Skall Ventures reserves the right to refuse participation or remove any guest from an activity or tour where their behaviour creates a safety risk to themselves, other guests, staff, equipment or the natural environment.

No refund will normally be provided where participation is refused or terminated due to a guest's failure to comply with clearly communicated participation requirements or reasonable safety instructions, subject to any mandatory rights under applicable law.

11. Photography and Marketing

Photographs and video footage may occasionally be taken during tours for promotional and marketing purposes, including use on the Skall Ventures website, social media channels and other promotional materials.

Guests who do not wish to appear in photographs or video used for promotional purposes should inform Skall Ventures or their guide before the tour begins.

Skall Ventures will respect such requests and will make reasonable efforts to ensure that guests who have opted out are not identifiable in promotional material.

12. Governing Law and Dispute Resolution

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of Iceland.

In the event of a complaint or dispute, customers are encouraged to contact Skall Ventures directly first so that we may make reasonable efforts to resolve the matter promptly and fairly.

If a dispute cannot be resolved amicably, it shall be handled in accordance with applicable Icelandic law and the competent dispute resolution bodies or courts.

Nothing in these Terms & Conditions limits any mandatory rights or legal remedies available to consumers under applicable law.
